Mayoral Team PA and Diary Coordinator

Join our team here at WMCA as the new Mayor, Richard Parker, leads us into an exciting future for the region. We are looking for a highly organised and proactive Personal Assistant and Diary Coordinator to provide top-notch administrative support to our Mayoral Team.

What will you be doing?
  • Deliver exceptional business management and administrative support, ensuring compliance with Constitutional and Statutory requirements.
  • Collaborate with the WMCA Business Support Team, providing outstanding customer service to stakeholders and staff.
  • Assist the Mayoral Director in resource planning by delivering accurate reports on work volumes, workflows, and expenditures.
  • Manage and maintain all mayoral resources, databases, and file systems, ensuring timely and accurate information access.
  • Handle the filing and disposal of documents in line with policy and legislative requirements.
  • Support the Mayoral Team with meeting and training arrangements, including room bookings and diary management.
  • Lead the financial administration for the team, including processing invoices, raising purchase orders, and monitoring expenditures.
  • Foster professional relationships with Finance, ICT, Procurement, and HR departments.
  • Develop and implement a quality system to ensure continuous improvement and high standards of service.
  • Oversee the efficient use of team resources, including inducting new starters and coordinating system fault reports.
About you.
  • Extensive PA-level experience in a professional environment.
  • Proficiency in IT management systems and the ability to train others.
  • Excellent people management skills. 
  • Proven ability in developing and implementing business management and support processes.
  • Strong numerical and analytical skills.
  • Superior oral and written communication skills. 
  • Exceptional MS Office and IT skills. 
  • Outstanding organisational skills with a proven track record in resource planning and workload prioritization. 
  • Self-motivated, able to work under pressure, prioritise, multitask, work unsupervised, and meet deadlines.

Salary and benefits.
We advertise salary ranges for job roles, with new appointments typically starting at the lowest salary point. In exceptional cases, where higher skill levels or experience are applicable, the salary point may be adjusted to secure the best candidate. This approach allows for potential year-on-year salary increases, offering progression and appropriate rewards to employees.

Location and working pattern.
The location for this role is 16 Summer Lane. Hybrid working is not available for this role and it is expected that you can commit to being in the office full time.
