We’re offering an exciting opportunity for a Personal Assistant to provide dedicated support to our Director of Delivery – Transport Portfolio while also delivering high-quality administrative assistance to the wider Delivery Directorate. This varied and impactful role will see you coordinating complex diaries, preparing high-quality meeting packs, taking minutes, managing expenses, and ensuring administrative processes run smoothly. You’ll also be instrumental in developing and maintaining efficient office systems, streamlining procedures, and building strong working relationships across departments to ensure the smooth delivery of projects.
You’ll be expected to work in the office three days per week, including Mondays, in line with the Director’s schedule, and accompany them on site visits when required.
We need someone who is organised, adaptable, and committed to delivering exceptional support to a team that makes a positive impact to the region.

What you will be doing
- Deliver proactive, timely, responsive and high-quality PA support
- Build and maintain positive relations and open communication within the team
- Engage with the WMCA Business Support Team and provide a high standard of customer service to stakeholders and staff
- Provide and ensure that support and assistance is available for projects and services being implemented by the WMCA
- Manage, co-ordinate and maintain Senior Manager calendars including meetings, appointments and records in accordance with pre-set priorities, deadlines and requests
- Plan and co-ordinate associated travel and accommodation arrangements
- Receive, sort and prioritise all incoming communications, mail and email
- Manage and plan cover arrangements ensuring that sickness/holiday absences, lunch breaks, etc are adequately resourced
- Ensure that all records and filing systems are maintained and kept up to date

- Experience of co-ordination, preparation and support to meetings; including booking venues, meeting invites, circulating agendas and papers, note taking and following up and progressing actions
- A calm and professional manner, with ability to effectively liaise with senior management and executives
- Ability to deal with difficult or sensitive situations tactfully and with diplomacy, always maintaining a high degree of confidentiality
- A flexible approach to work
- Ability to network effectively with external and internal contacts, including senior management, and maintain excellent relationships
- A good standard of education, including maths and English
Location.
The location for this role is 16 Summer Lane with at least 3 days a week spent in the office, including Monday's.
